How Much Tea Does Your Office Need? A Guide by Team Size

Black, Herbal and Green Holy Tea loose-leaf tea pouches on a stone stand, with a glass of tea and a bowl of loose tea

"How much tea should we order?" It is the first question every office manager asks when the team wants better tea, and it is surprisingly hard to answer. Order too little and the tins are empty by the second week. Order too much and the cupboard fills up with tea nobody gets to. Here is a simple way to work it out, with a table by team size you can use straight away.

The short answer

Count on about 2–2.5 grams of loose-leaf tea per office cup, and count the cups by the people who actually drink tea and the days they are in the office. This is how our three Office Tea plans are sized:

Plan Team size Tea per month Cups per month Price
Starter – Tea Corner 5–15 people 400 g about 160–200 €54/month
Team – Tea Break 15–40 people 800 g about 320–400 €95/month
Office – Tea Ritual 40–100 people 1,600 g about 640–800 €179/month

Every plan brings four different blends a month, always including a caffeine-free one. If you want to understand where these numbers come from, or your team does not fit neatly into one row, read on.

Step 1: How many grams per cup?

On our packs we suggest about 3–4 g of tea, roughly one heaped teaspoon, for a single fresh 250 ml mug. In an office the real average tends to be lower. Not every mug is a full one, many people pour a second, lighter cup over the same leaves, and some colleagues simply prefer a milder tea.

That is why we count on about 2–2.5 g per cup when we size our office plans. In other words:

  • 100 g of loose tea ≈ 40–50 office cups
  • 400 g ≈ 160–200 cups
  • 1 kg ≈ 400–500 cups

If your team brews strong and never steeps twice, count closer to 3–4 g per cup and size up.

Step 2: How many cups per month?

The calculation itself is simple:

tea drinkers × office days per month × cups per person per day = cups per month

  • Tea drinkers. Count the people who actually drink tea, not the whole headcount. A quick poll in the team chat is usually enough.
  • Office days. A full-time office has about 20 working days a month. With hybrid work, two or three office days a week is about 8–12 days a month.
  • Cups per day. Most tea drinkers have one to three cups during a working day. One is a light tea office, two is typical, three is a real tea crowd.

Multiply the cups by 2–2.5 g and you have your monthly amount of tea in grams.

Three example offices

A small studio, in every day

8 tea drinkers × 20 office days × 1 cup = 160 cups a month, or about 320–400 g. That is a Starter plan, with a little room for client meetings.

A hybrid scale-up

A team of 30 people, of whom about 20 drink tea, in the office three days a week: 20 × 12 days × 1.5 cups = 360 cups a month, or about 720–900 g. That fits the Team plan.

A busy coworking space

60 tea drinkers on an average day × 12 days × 1 cup = 720 cups a month, or about 1,440–1,800 g. That is the Office plan.

What arrives each month

Each Office Tea delivery contains four different blends of our own, from across the range: classic and spiced black teas, green and white teas, rooibos, and herbal blends inspired by Greek herbs, always with at least one caffeine-free option. The Team plan also includes a blend of the month with its story card. Every blend has brewing instructions on the pack, plus a short video for each tea type, so nobody has to guess.

When to size up, and when to size down

The formula gives you a starting point. A few things move the number:

  • Winter. Most offices drink more tea in the cold, dark months than in summer.
  • Coffee drinkers who switch. Once there is good tea on the shelf, some coffee drinkers start having an afternoon cup of tea too.
  • Meetings and visitors. If you offer tea to clients and guests, add a few cups per meeting.
  • Quiet months. During the summer holidays or around Christmas, you can pause or skip a delivery instead of choosing a smaller plan for the whole year.

Stored in airtight tins, away from light, heat and strong smells, loose tea keeps its aroma for months. So a slightly generous plan is rarely wasted; a quiet month simply means the next delivery lasts a little longer.

Not sure? Measure it with the Trial Box

The easiest way to find your own number is to test it. The Office Tea Trial Box (€21.99) brings three seasonal teas of 50 g each, 150 g in total or roughly 60–75 office cups, with free courier delivery anywhere in the Netherlands. Put it in the kitchen, see how quickly it goes in a week or two, and you know which plan fits.

The Trial Box is for companies, so you enter your company name and KvK number when you order. When you then choose a plan, the €21.99 comes back as a one-time discount on your first Starter, Team or Office payment, valid for 30 days. In Amsterdam and Amstelveen we can also visit your office once, the first time, to present our teas and brew the trial teas with your team. That part is entirely optional.

Making the tea corner work

The right amount is only half of it; the other half is a tea corner people enjoy using. A kettle with an 80 °C setting, mugs with an infuser and a few airtight tins go a long way. We collected everything in our guide to setting up good loose-leaf tea at the office. Juliet tea mugs and the Filter and Lid can be added to any Office Tea plan as a one-time add-on at a discount.

Office Tea is delivered by courier anywhere in the Netherlands, with no minimum term. Working mostly from home? Compare all our plans for home, the home office and the office.
